Project Sight Administrator

Houston, TX
Full Time
Experienced
Department: PMO / Project Systems
Reports To: PMO Office

Position Summary:
Hays Electrical Services is seeking a Project Sight Administrator to own the configuration, governance, and day-to-day administration of our Trimble ProjectSight Enterprise environment. This role is the primary system owner for ProjectSight — responsible for how projects are set up and configured, how new features and configuration changes are rolled out across the organization, and how well the system is actually being used in the field and office. The Administrator also owns the integration between ProjectSight and our Vista ERP, ensuring project, budget, commitment, and change order data flows accurately between the two systems, and leads training so project teams can use ProjectSight effectively and consistently.

Key Responsibilities
  • Configuration & Standards: Build and maintain project templates, workflows, custom fields, security roles, and portfolio settings within ProjectSight, ensuring configurations are standardized and scalable across projects.
  • Rollouts: Plan and execute rollouts of new configurations, features, and workflow changes — including communicating changes to stakeholders, coordinating timing with project teams, and validating changes post-rollout.
  • System QC & Adoption: Regularly audit projects for configuration compliance and data quality; monitor usage across project teams to identify gaps in adoption and follow up with teams or leadership as needed.
  • Vista Integration Ownership: Own the ProjectSight-Vista integration end to end — including portfolio-to-company mapping, budget code and commitment sync, change order flow, and units of measure alignment. Monitor for sync errors or data mismatches between systems and resolve them proactively, since the integration does not create a single source of truth and data must be actively reconciled in both systems.
  • Data Integrity: Partner with Analytics, Accounting, and Project Controls teams to ensure data flowing between ProjectSight and Vista supports accurate reporting downstream (e.g., in Power BI).
  • Training: Develop and deliver training materials and sessions for new hires and existing staff (PMs, superintendents, field staff, accounting) on ProjectSight functionality, standards, and best practices. Maintain documentation/SOPs for system use.
  • Vendor Liaison: Serve as the primary point of contact with Trimble/Viewpoint support for troubleshooting, upgrades, and new feature evaluation.
  • Support: Act as the first line of support for internal ProjectSight questions and issues, escalating to Trimble support when necessary
Qualifications
  • 2–4 years of experience administering a construction project management platform (ProjectSight, Procore, e-Builder, or similar), ideally in a general contracting, electrical, or specialty trade contracting environment.
  • Experience with system integrations between a construction PM tool and an ERP/accounting system (Vista/Viewpoint experience strongly preferred).
  • Strong understanding of construction project workflows: budgets, commitments (subcontracts/POs), change orders, RFIs, and submittals.
  • Demonstrated experience developing training materials and delivering training to varied audiences (field and office staff).
  • Detail-oriented with strong data QC instincts — comfortable auditing configurations and data for accuracy and consistency.
  • Strong communication skills; comfortable working cross-functionally with Analytics, Accounting/ERP, and Operations/Project teams.
  • Experience with Vista (Trimble/Viewpoint) ERP a plus.
Preferred
  • Trimble ProjectSight certification or equivalent platform administration credential.
  • Prior experience supporting a system rollout or migration (e.g., moving teams onto a new PM tool or major configuration change).
  • Familiarity with Power BI or other reporting tools used to consume ProjectSight/Vista data.
  • Experience in electrical, mechanical, or another specialty trade contracting environment.
  • Basic SQL or data-querying skills, useful for diagnosing integration sync issues between ProjectSight and Vista.
  • Change management experience — comfortable driving adoption of new tools/workflows across distributed field and office teams who may be resistant to change.
  • PMP, CAPM, or similar project management certification.
  • Bachelor's degree in Construction Management, Information Systems, Business, or a related field, or equivalent practical experience.
