Accounts Receivable Manager

Position Overview:
Hays Electrical Services is seeking a detail-oriented and strategic Accounts Receivable Manager to lead our billing and collections operations. This role is responsible for ensuring accurate and timely invoicing aligned with project contracts and milestones, maintaining healthy AR aging, and driving cash flow through proactive collections and forecasting. The ideal candidate will collaborate closely with Project Managers, legal, and finance teams to resolve billing issues, enforce compliance, and support audits. This is a hands-on leadership role that also involves mentoring AR staff, optimizing systems like Procore and Viewpoint Spectrum, and building dashboards to track key AR metrics.
Key Responsibilities:
Ensure timely and accurate billing for all project types (data centers, commercial, industrial, multi-family, specialty).
Verify contract compliance
Partner with PMs, Preconstruction, and Procurement to ensure billing accuracy and alignment with project milestones.
Track and manage collections to protect cash flow; escalate high-risk accounts.
Implement structured collection processes, including proactive outreach and escalation protocols.
Forecast expected cash inflows and prepare weekly/monthly AR cash flow reports.
Lead internal and external collections meetings.
Maintain strong client relationships to resolve disputes and improve payment cycles.
Monitor lien deadlines and ensure timely filing of notices.
Track retention balances and follow up on release dates.
Coordinate with legal or third-party lien services as needed.
Act as AR lead during project closeout to secure final payments.
Maintain and reconcile AR aging reports; analyze and flag high-risk accounts.
Develop dashboards and KPIs (DSO, % past due, billing vs. milestones, dispute resolution time).
Provide weekly and monthly reporting to leadership on AR performance and risks.
Evaluate and upgrade AR/accounting systems (ERP, lien tracking, project management tools).
Lead automation of invoicing, collections reminders, and reporting.
Collaborate with CFO, Controller, and executive leadership on cash forecasting and financial strategy.
Serve as a change agent for AR modernization across Hays and affiliated companies.
Qualifications
Bachelor’s degree in accounting, Finance, or related field.
5+ years of progressive AR experience in construction, subcontracting, or electrical contracting.
Strong knowledge of AIA billing, SOV structures, lien waiver processes.
Proficiency in Procore, Viewpoint Vista, or similar ERP systems.
Advanced Excel skills (pivot tables, formulas, reporting).
Strong communication and interpersonal skills; comfortable enforcing policies and resolving disputes.
